Data Ownership & Handling Policy

1. Purpose

This policy defines how AccessOff Inc. manages, protects, and handles institutional and customer data processed through the AccessOff application. It clarifies ownership rights, permitted uses, and procedures for data export and deletion.

2. Data Ownership

All data provided to or generated within AccessOff—including inputs, outputs, metadata, configurations, and derived information—remains the sole property of the institution. AccessOff Inc. does not claim ownership or usage rights beyond those required to operate the service. No institutional data is used for marketing, profiling, or unrelated purposes.

3. Use and Access

Institutional data is used exclusively to deliver and support the AccessOff service. Access to data is limited to authorized AccessOff Inc. personnel who require it for operational or support purposes. Access is role-based and restricted to the minimum necessary scope.

4. Data Export

Upon request or at contract termination, AccessOff Inc. will provide the institution with an export of its data in a standard, non-proprietary format (e.g., JSON or CSV). Exports are transferred securely using an agreed-upon method. Once the institution confirms receipt, the offboarding process proceeds to data deletion.

5. Data Deletion

Following contract termination or written request, AccessOff Inc. securely deletes institutional data from production systems and related storage locations in accordance with established data removal procedures. Deletion includes primary application data and any associated backups or artifacts containing institutional data, subject to retention policies.

6. No Transfer of Rights

Nothing in the AccessOff service or operations transfers or modifies ownership rights of institutional data. The institution retains full control over its data at all times.
